Job Position: Admin/Bookkeeper
Job description
We are seeking a dedicated and motivated Administrative Assistant to provide comprehensive support to our organization. The ideal candidate will play a role in ensuring the overall success of our operations. This position requires a strong work ethic, attention to detail, and the ability to work collaboratively with team members.
Duties
Bookkeeping Responsibilities:
• Financial Recordkeeping: Maintaining accurate financial records, including accounts payable and receivable, and general ledger.
• Data Entry: Entering financial transactions into accounting software like QuickBooks.
• Reconciling Accounts: Reconciling bank statements, credit card statements, and other financial records.
• Budget Tracking: Monitoring budgets and providing recommendations for improvements.
• Payment Processing: Processing invoices, vendor payments, and bank deposits.
• Financial Reporting: Assisting with preparing monthly, quarterly, and annual financial reports.
Administrative Duties
• General Office Support: Answering phones, responding to emails, and directing inquiries.
• File Management: Maintaining and organizing both digital and physical files.
• Scheduling and Coordination: Scheduling meetings, managing calendars, and assisting with travel arrangements.
• Clerical Tasks: Performing general clerical duties such as copying, faxing, and mailing.
Skills
• Strong time management skills to prioritize tasks effectively.
• Bilingual abilities are a plus, enhancing communication within diverse teams.
• Experience in clerical or administrative roles is beneficial for organizing project documentation.
• Familiarity with construction terminology and practices is an advantage but not required.
• Ability to work well under pressure while maintaining a high level of accuracy and attention to detail.
• Proficiency in accounting software (e.g., QuickBooks- Online)
