Job Overview:

We are seeking a motivated and detail-oriented Assistant Project Manager to join our growing critical technologies team. This position plays a key role in supporting Project Managers with the day-to-day oversight of multiple ongoing projects. Your responsibilities will span across project setup, compliance tracking, documentation management, and coordination with technical site teams to ensure projects are progressing according to plan.

The ideal candidate will be organized, proactive, and capable of managing multiple tasks while ensuring high-quality execution. If you are proficient in Gantt charts, Microsoft Office Suite, and have a solid understanding of PM 101 principles, this is an excellent opportunity to advance your career in project management.

This role requires regional travel of up to 75%. All Assistant Project Managers should be prepared to travel as needed.

Key Responsibilities:

  • Maintain and organize comprehensive project documentation including compliance records, project schedules, daily reports, labor logs, change orders, and quality control records.

  • Conduct routine visits to remote job sites to ensure alignment with project objectives and timelines.

  • Monitor subcontractor and mechanical installation progress, and provide regular status reports to senior management.

  • Develop and manage change orders derived from the bidding and sales process, ensuring adherence to internal policies and standards.

  • Facilitate procurement activities including material transmittals, logistics coordination, and communication with both internal teams and external subcontractors.

  • Attend and document project meetings, providing clear and timely updates to the management team.

  • Track and maintain project schedules to ensure milestones are met and personnel resources are allocated efficiently.

  • Support technical leads onsite by assisting with project punch lists (snags), coordinating labor requirements, and resolving jobsite issues.

  • Analyze performance data, trends, and project reports to identify areas for process improvement and ensure continuous development.

Qualifications:

  • 1 - 5 years of experience in project management, ideally in HVAC or mechanical systems.

  • Strong understanding of PM 101 principles and project execution workflows.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

  • Ability to read and develop project schedules using custom Gantt charts.

  • Familiarity with bidding processes and general project management procedures.

  • Ability to interpret Bills of Materials (BOMs) and control drawings.

  • Experience in procurement, logistics, and scheduling within a project environment.

  • Knowledge of contract negotiation and administration practices.

  • Skilled in identifying project critical paths and optimizing labor schedules.

  • Excellent written and verbal communication skills, with the ability to produce professional-level reports.

Preferred Skills:

  • Experience with Smartsheet or similar project management tools.

  • Strong data analysis skills; experience with Python is a plus.

  • Understanding of HVAC commissioning processes and installation procedures.

  • Familiarity with project "L" levels and best practices in materials management.

  • Experience in contract administration and negotiation within construction or technology projects.

Pay Range:

  • $65,000 $80,000 annually, based on experience and qualifications
